1. All-in-one practice management platforms

Good fit if: you want to replace several tools with one and are ready to move your whole workflow onto a new platform.
Watch out for: a steep setup and training effort, and clients who find a full-featured portal harder to use than they expected. You're also buying into one vendor for nearly everything.
2. Secure document storage and file sharing
Tools such as SmartVault and ShareFile started as secure storage and file exchange. They offer client folders, upload and download, integrations with tax and accounting software, and now document request lists with reminders.
Good fit if: your main need is a secure, organized place to store and share files.
Watch out for: Both now offer document request lists and reminders, but their core is storage and file exchange. Check how much guidance clients get on what to send, and whether anything checks that the right document arrived.
3. Document request and collection tools
Tools in this category, including Content Snare and Correctdocs, focus on the collection step itself: sending clients a list of what's needed, gathering the uploads and following up on what's missing.
Good fit if: chasing documents is your biggest time sink, or you want to fix collection without replacing your practice management setup.
Watch out for: these tools solve one job well rather than running your entire practice, so check that they fit alongside the tools you already use.
Features that matter most
Ease of use for clients
This is the one most firms underestimate. If a client has to create an account, verify an email, set a password and navigate folders just to upload a W-2, many will give up and email it to you instead. Test every portal from the client's side, on a phone, before you buy.
Checklists and requests
A portal that simply accepts files puts the burden on clients to know what to send. Look for the ability to send each client a specific list of documents and see at a glance what has and hasn't arrived.
Automatic reminders
Following up is where the hours go. The best tools send reminders automatically on a schedule you set, naming only what's still missing, and ideally by text as well as email.
Document checking
Receiving a document isn't the same as receiving the right document. Wrong tax years, missing pages and unreadable scans are common. Tools that check uploads as they arrive let you catch problems immediately instead of weeks later.
Security
At a minimum, look for encryption in transit and at rest, multi-factor authentication for your team, access controls and activity logs. Pricing structure
Pricing models vary widely: per user, per client, flat monthly or tiered by features. Model the cost at your current size and at the size you expect in two years, and confirm current pricing directly with each vendor.
How to choose
- Write down your top three problems. Be specific: "clients send wrong documents," "we spend 10 hours a week on follow-ups," "files are scattered across email."
- Decide what you're replacing. Are you looking for a new system to run the whole practice, or a tool to fix one painful step?
- Shortlist two or three tools that directly solve your top problems.
- Test as a client. Send yourself a request and complete it on your phone. Then ask a friendly client to do the same.
- Run a pilot. Move a small group of clients over before committing your whole firm, ideally outside of peak season.
